What is DepoXchange?
DepoXchange is a proprietary payment processing system that allows court reporters, videographers, court reporting firms and attorneys to exchange their transcripts, exhibits and videos while ensuring the one who is providing the work product is paid promptly for their work on a pre-established date agreed upon by both parties.
What do I need to use DepoXchange?
All you need is a computer or mobile device. No additional software is needed.
Who uses DepoXchange?
Court reporters, court reporting firms, videographers, scopists and attorneys.
When would I use DepoXchange?
Court reporter, scopist or videographer: Whenever you need to ensure you receive prompt payment for your work or whenever the ordering party is someone with whom you have no prior work history.
Court reporting firm: Whenever you are asked to sell a copy to an out of town attorney or a firm with a questionable payment history has asked you to cover a job.
Why not just send C.O.D.?
- Many times it is very inconvenient for your client to accept a C.O.D. delivery. It requires there to be someone available at their office with a checkbook whenever the delivery driver arrives.
- It forces the ordering party to pay for files immediately and does not allow them the grace period that helps their business and our industry flourish.
- We do not want to offend the business with whom we are looking to build a relationship by forcing them to accept C.O.D.
- It's good for the environment. If we assume an average delivery driver needs just 4 minutes to drive to your client's location to make your delivery and we save an average of 1,000 C.O.D deliveries per work day. We can keep delivery trucks off our streets for a total of 4,400 HOURS per year which should save in excess of 6,000 gallons of fuel per year. Not including the fuel used in the planes to carry those packages across our country and the carbon emissions that accompany these deliveries.
How does it work?
When you get a call or email asking to cover a job from the ordering party, all you need to do is log into DepoXchange and enter a new job. You will enter the ordering parties email, the date of the deposition, the time of the deposition, the witness name, the transcript due date, your page rate or hourly rate, your appearance fee (if any) and the DATE you expect to get PAID. An email is sent to the ordering party asking for them to approve these details. Once you have taken the deposition, you upload the files and your total invoice amount to DepoXchange. Another email is sent to the ordering party letting them know that their files are ready for download. Before the ordering party can download the files, they must provide their electronic payment information (credit card or electronic check) and confirm the date the invoice can be processed. The funds are direct deposited into your account within 72 hours of the funds being released.
How long does the ordering party have to pay my invoice?
This is determined by YOU, You set the date that you expect to be paid. You can give the ordering party up to 60 days to pay your invoice.
How much does it cost?
There is NO charge for setting up an account on DepoXchange and there are NO monthly or annual service fees. We only charge you when you utilize our service and the cost per job is just $10.00 per customer. This is less than the cost of a C.O.D charge from UPS or any of the other major carriers. You also do not incur the shipping charge.
Can I access from my mobile device?
Yes, DepoXchange offers a mobile application for Android, Blackberry and Apple iOs. You can download the mobile application free from the Android Marketplace, the Blackberry App World and the Apple Store. Just search for DEPOXCHANGE.
Is my data and banking information secured?
Yes, we commit extensive resources to ensure that our security infrastructure is world-class. Our servers are hosted at a Tier II, SAS 7 compliant colocation facility that features 24-hour manned security, biometric access control, video surveillance and physical locks. Our network is protected by best-of-class firewall and router technology, strong SSL encryption and a network intrusion detection system. All communication with DepoXchange accessed via the web browser is encrypted using 256-bit AES encryption over Extended Validation SSL. You can be assured that your communication with DepoXchange is completely protected.
How long will my files stay on DepoXchange?
Since we do not consider ourselves to be data host, we have a set time limit for the storage of your data. Ninety days after the ordering party has downloaded their files, they will be notified by email that the files will be deleted from our database within 60 days.
